FREQUENTLY ASKED QUESTIONS
Cancellation of registration has to be made in writing to the Conference Secretariat (email@example.com). If a cancellation is received before or on April 1, 2020 reimbursement of the registration fee and social events, minus 50 EUR handling charges, will be made. After this date, or if registrants fail to attend the meeting for any reason whatsoever, regrettably no refund (registration fee and social events) can be made. If, for reasons beyond the control of the organisers, the conference is cancelled, the registration fee will be refunded after deduction of expenses incurred by the conference.
Thank you for considering joining us for NECTM8. The current Sars-CoV2/Covid-19 situation does not result in a cancellation or postponement of NECTM8 at this stage. We are monitoring the situation closely and will follow (inter)national guidelines at all times. A timely and rational decision to hold or postpone our meeting will however be made no later than by April, if not earlier, and will be communicated immediately.
If you require an invitation letter as part of your visa application, you can request one as part of the online meeting registration process. Please complete your registration and send an email to the Conference Secretariat stating that you would like to request an invitation letter. No letters of invitation will be issued without a completed registration.
ECTM8 will be jointly organised by the NECTM partners. These NECTM partners are 12 societies from 8 Northern European countries. Members of these 12 societies are eligible for the member registration fee.

– Swedish Society for Travel Medicine (SSTM)
– The Netherlands National Coordination Centre for Travellers Health Advice (LCR)
We accept payments by credit card, iDEAL and bank transfer. We cannot accept payment by check and debit card. Any additional fees (e.g. bank charges) are at own expense.
Payment of the applicable registration fee must have been made within 14 days after registration to secure your participation.
If your name contains special characters this may cause errors during the payment procedure. In that case, please change your name in your contact details removing any special characters, so that you will be able to arrange the payment. If you send an email with your correct name to the Conference secretariat, we will change your name back in our system, so that your name will be presented correctly on your name badge.
Example special characters include: á, ä, â, ç ,ê, é, ë, î, ï, ñ, ö, õ, ô, ü.
Representatives of the press and media agencies with media credentials are welcome to attend the 8th Northern European Conference on Travel Medicine (NECTM8). Contact the Conference Secretariat (firstname.lastname@example.org) for details of media registration.
By registering as media representatives for NECTM8, journalists, press photographers, film crews and other members of the press accept that they must comply with the NECTM8 2020 Press Policy. Failure to do so may result in the immediate withdrawal of press registration.
Picture taking, audio/video recording and/or filming at 8th Northern European Conference on Travel Medicine venue without prior permission of the organisers are prohibited. Requests for interviews of speakers or faculty should be sent to the Conference Secretariat.
Personal data will be collected, processed and stored by Congress by design (the “Processor”), on behalf of the NETM8 2020 Conference organisers, in its capacity as data controller, only for the preparation and execution of the 8th Northern European Conference on Travel Medicine, June 3 – 5, 2020. Delegates’ personal data will be retained securely and under the applicable law, you may, at any time, request access to your personal data, as well as its rectification, erasure or limited processing, portability of your data, or oppose to the processing by written request addressed to the Data Controller through the e-mail address email@example.com.
Congress by design does not give your personal information to anyone else unless one of the following applies;
You would reasonably expect that your information will be passed on to the recipient as part of the provision of products or services to you ancillary to your registration for this conference;
- You have consented;
- It is required or authorized by law;
- It will prevent or lessen a serious and imminent threat to somebody’s life or health;
- It is reasonably necessary for the enforcement of the criminal law or of a law imposing a pecuniary penalty, or for the protection of public revenue.
The NETM8 2020 Conference is offering a reduced registration fee to students enrolled in an accredited college or university program. During the registration students need to upload an official student card valid till the end of the meeting.
